At Gayatri School, we understand that families may need to withdraw their child due to transfers, relocations, or other reasons. Our Withdrawal / TC Policy ensures a transparent and smooth process while maintaining compliance with HBSE norms.
1. Policy Objectives
To outline a clear procedure for the withdrawal and issuance of Transfer Certificates.
To ensure the timely processing of requests.
To maintain accurate records as per HBSE requirements.
2. Scope of the Policy
Applies to all students who wish to withdraw from the school.
Covers TC issuance, clearance process, and fee settlement requirements.
Ensures parents are well-informed of the documentation needed.
3. Withdrawal Procedure
Submission of Written Request
Parents must submit a written application to the Principal at least one month before the intended date of withdrawal.

Clearance of Dues
All outstanding fees, library books, and school property must be cleared.
No TC will be issued until dues are settled.
Verification & Processing
The school office verifies details and processes the application.
TC is prepared under HBSE regulations.
Issuance of TC
The TC is issued within 7 working days after clearance of all requirements.
4. Important Guidelines
One month’s notice or one month’s fee instead of notice is mandatory.
Requests during the academic year must specify the reason for withdrawal.
The original TC must be collected by the parent/guardian in person or sent to the new school via official communication.
Duplicate TCs are issued only with a written affidavit and applicable processing charges.
5. Refund Policy
Admission fees and annual charges are non-refundable.
Tuition fee is charged up to the month in which withdrawal is requested (partial months count as full).
Refund of caution/security deposit (if applicable) is processed after clearance.
6. Transfer Certificate (TC) Requests for Students Migrating to Other Boards
For students moving to a different board or state, additional documentation (Migration Certificate, Marksheet, etc.) is provided as per HBSE rules.
Requests must be made well in advance to avoid delays.
7. Compliance
All TCs are issued strictly following HBSE guidelines.
Records are maintained digitally and physically for future reference.
